PURPOSE:
The objective of this document is to provide policy and procedure guidance for conducting data management activities in the Novamex data centers.

SCOPE:
The intended use of this policy is for is to define the processes and procedures for managing all of the Novamex data.

DEFINITIONS:
• Backup Administrator – Handles operational backup level activities.
•Technology Manager (TM) – Responsible for the day-to-day management and direction of the entire technical operations staff including data management and of ensuring all policies and procedures are been followed.
• IT staff – Request changes to the backup data.
• Backup – the process of making a copy of data into a magnetic media so that this additional copy may be used to restore the originalafter a data loss event.
• Restore – the process of extracting data from a magnetic media in order to recover data lost.

POLICY
Novamex IT department recognizes that the backup and maintenance of the files for all Novamex networks, servers, PCs (including application data files) are critical to the viability and operations of the company. It is essential that certain basic standard practicesbe followed to ensure that data files are backed up on a regular basis. This policy does not include Disaster Recovery nor Continuity Plan.

PROCEDURES:


1 NETWORK SERVER BACKUPS

The servers deployed in the Novamex Network have a backup tape device attached to the server, or have access to a backup tape device attached to another server in the local network. The type of backup tapedevice varies with the model of the server and the volume of data to be backed up.

Novamex uses CA ArcServe backup software on the network server to control the backup processes. Novamex IT staff ensure all backups are completed successfully and review the backup process on all network servers daily. Logs are maintained to verify the amount of data backed up and the unsuccessful backupoccurrences.

3 Tape Rotation


To reduce backup tape costs and to promote an efficient and reliable backup, the following schedule is defined for the Novamex Network server backup tape rotations:

• Daily backups (Monday – Friday) take place ona 4-week rotation; 6 tapes per week
• End of month backups for all jobs, occurs the weekend closes to the end of month.
• Special backups may be made for longer retention periods before or after system upgrades, major business projects, or for financial reporting periods. These are performed on as needed basis.


4 Offsite Storage of tapes


Corporate headquarters: Daily backups forweeks other than the current week will be stored in the vault at an offsite storage supplier.

For Novamex Corporate Headquarters and Juarez plant, Novamex stores its backup tapes with offsite storage suppliers. All daily backups for weeks other than the current week and monthly backups are stored offsite.

The retention period for the monthly backup tapes is as follows:

• Option 1: Amonthly backup will kept for each month for each server for the period of 7 years.
• Option 2: For the current and immediately preceding year (years 1 and 2) a complete set of twelve monthly backup tapes will be kept. For years 3, 4, 5, and 6, tapes will be kept for the following months only: April, July, October, and January.
