Agenda provided for face-to-face sessions
- Route one week in advance
- Clear statement of desired outcome for each agenda item
- Recommendations/ information to lay ground-work for meeting routed one week in advance as well – limit to one page.
• Start/end promptly on time – all team members assist in time management
• Agree on afacilitator. Agree who will take / route minutes
• No distractions in the meeting …. cell phones, computers, etc.
• Manage energy by limiting discussions to 90-120 minutes (10 minutes is okay)• Set parameters for each discussion / topic
Example: Total Time = 60 minutes
- Key Issues sheet
- Audience gets half the time for questions 30 minutes
- Presenter gets other halfto present 30 minutes
- 1 slide for every 3 minutes of presentation 10 slides
• Guests /sub-teams attend as needed, with advance notice (no surprises)
• Re-energize with breaks (30minute breaks, 60 minute lunches)
• Focus on achieving the outcome
