PURCHASING AND SUPPLY

1.THE ROLE OF PURCHASES AND SUPPLY. 1.1 Introduction to purchasing. The management of purchases and supplies has 3 key areas: general operation, process for the purchase, supply and service.

1.2 Concept of purchase.
Buy is to purchase goods or services to meet the needs of an entity and thereafter achieve their objectives in an efficient manner.

1.3 Importanceand Objectives of the purchases. Purchasing objectives: •Cost reduction and profit making, as well as all institutions and individuals seek to reduce costs, but also entities seek profit. To comply with the achievement of profits and effectively serve an organization competitiveness should be used where we see the cost - benefit - utility. Hereinafter to be practical we will see purchases from astandpoint of a department.

• Service: the purchasing department should always be well trained to serve and support other departments. The functions or services can be divided into 3 aspects: - Those that are purchasing responsibility: as price research choice of suppliers, relations with them, recruitment and training of personnel, issue purchase orders and inspect and monitor each order(follow-up)

-Those who are shared with other departments as have reports, accounting, market research, inventory and control stock of these, quality assurance, customs brokers, legal department, and agreements with insurance carriers. - The activities that interest as hosting and storage, and cover bills.

•Control of agreements for funding. These have the following rules: - Accept only thecommitments approved by the department. - Continue with a strict procedure with purchase orders. - Report on the inventory to be maintained and carried out. - Have mechanisms to take care that the purchases are made in accordance with the provisions.

•Control of dealing with suppliers. It must respect the agreements and commercial relationships with suppliers for the following reasons: - Maintaingood relationships. - It must make business deals and shop smart in terms of volume, price, deadline for payment and discounts. - Maintain confidential information obtained from suppliers. - Only the purchasing department should be responsible for the purchases to avoid that other people know of information that is only interested in the supplier and the buyer.

•Obtaining information andadvice. Purchasing staff must keep informed and advised all staff of the company, so you must train your people to serve in consultation with other departments and others in need.

Importance of shopping It is vital to the success of companies as the profits of a business or enterprise are determined largely by the effectiveness with which goods and services purchased. Therefore the objective of thepurchasing department is to get the best price and terms, quality, financing and delivery time.

1.4 Definition of supply. This includes the functions of purchasing, storage and receiving traffic from all that is consumed within the company. There are 2 types of supply of goods and services.

1.5 Significance and Objectives of supplies. You could say that every person belonging to a company,recognize a genuine need or more supply and inform the department or purchasing agent and most importantly is that you cannot achieve the overall objectives of an organization or individual if not you have the materials and services. 1.6 Sequence Diagram or shopping process.

Sequence for the purchasing process: • Knowledge of the need • Location of where they are or displayed it. • Select the provider that best quality, service, financing and grant conditions. • Negotiate the price. • Purchase Agreement, to the delivery of the product by the supplier. • Determine the appropriate means of transportation....
