Accounting information system collects and processes transaction data and communicates financial information to decision makers in a company or organization. It includes each and every one of the steps in the accounting cycle andall the supporting documentation that serve as evidence for the transactions made and recorded in the different statements in the company. Although an accounting system may be either manual or computerized, most businesses these days use some sort of computerized accounting system. In present, many businesses replaced their manual accounting system with a computerized general ledger accountingsystems, but many different general ledger software packages are available, and the company must identify the right software that it needs depending of the company’s operations. (Weygandt, Keiso & Kimmel, 2008).
Accounting system follows a basic model and a well designed information system, providing control, consistency, flexibility and an acceptable relation of cost/benefit. The accountingsystem of any company regardless of the accounting system used must be run using three basic steps related to financial activities, the data must record, classify and summarize, however, the accounting process involves communication to those concerned and interpretation of accounting information to assist in making business decisions, (“Sistemas,” 2007). In addition, the accounting systemintegrates the various accounting functions related to sales, purchases, receivables, payables, cash receipts and disbursements, and payroll. Also, it generates the financial statements and provides documents as an evidence of the transactions and their records, trial balances, worksheets and financial statements that result. The options of the accounting systems vary depending on revenues and the numberof employees of the company. An organization with revenues of less than five millions and up to twenty employees generally use entry-level program like QuickBooks or Peachtree. Manufacturing companies with five hundred million in sales and more than five hundred employees use enterprise resource planning system; this system integrates all aspects of the organization as accounting, sales, humanresource management, and manufacturing, but the implementation of the system can cost from $250,000.00 to as much as $ 50 million, (Weygandt, Keiso & Kimmel, 2008). As ninety percent of small business use accounting system, we are going to focus in manual system, Peachtree, and QuickBooks.
Based in our experience, manual accounting system is based in each of the step of the accounting cycleby hand. Some companies with a low volume of transactions use this system. However, many companies use computerized system because of “the necessity to add additional ledgers and journals to the accounting system to record transaction data efficiently” (Weygandt, Keiso & Kimmel, 2008, p. 295). Manual system has many disadvantages because the human being is not a machine and could be wrong onoccasion. Moreover, the manual system requires more time and is stressful record transactions and performs account closing if the volume of transactions is very high. For those reasons, companies prefer computerized systems because is more efficiency, the system does most steps automatically, prevent the human errors such as errors in posting or preparation of financial statements, and the companyenters data only once. Computerized systems are faster and it is better in business decisions.
Otherwise, Peachtree is an accounting system like QuickBooks. Peachtree is accurate, easy-to-use accounting software that provides the insights and control needed for businesses that are committed to getting the numbers right and improving results.
